Please note I (Virupa Ramachandran) am no longer a licensed or registered medical doctor. I have voluntarily relinquished my license and registration in good standing. I am therefore not able to diagnose medical conditions, provide medical advice, prescribe medicines or perform any other activities that require medical licensing and registration. My services at Virupa Healing Arts are not intended to replace any medical or therapeutic services.

My services include in person and online sessions and events; guidance provided on my website, social media posts and emails; online meditations, information sheets and all other free and paid offerings I provide.

I am not a psychotherapist, psychologist, hypnotherapist, nutritionist, somatic therapist, substance abuse therapist or any other kind of licensed therapist. My services are not intended to replace therapy or care from any other healthcare provider.

As a client of my programmes/sessions, or a service user of my online meditations, social media posts, mailing list, website or other online guidance, you must take full responsibility for your physical, mental, emotional health and wellbeing. This includes taking full responsibility for your choices and decisions. It is your responsibility to seek professional guidance from the appropriate medical, mental or other qualified professionals if it is needed.

You must also understand that as with any holistic healing/coaching/spiritual work there are no guarantees regarding the results you will experience. Your results will be based on your individual capacity to undergo transformation, your level of experience, engagement, commitment and other factors. Whilst I put every effort into supporting you to achieve the best results, individual outcomes cannot be guaranteed.

Virupa Ramachandran/Virupa Healing Arts will not be held liable for any action or inaction by the client/service user, or any direct or indirect result (including loss and injury) of any of the services provided at Virupa Healing Arts.

I am not currently working with women or girls under the age of 18. Please do not apply to work with me if you are under 18.

I am committed to safeguarding your privacy. I am in compliance with the General Data Protection Regulation (GDPR) applicable as of May 2018.

Data protection principles

I adhere to the following principles regarding your personal data:

• Processing is lawful, fair, transparent. I always consider your rights before processing personal data. I will provide you with information regarding processing upon request.

• Processing is limited to the purpose. My processing activities fit the purpose for which personal data was gathered.

• Processing is done with minimal data. I only gather and process the minimal amount of personal data required for any purpose.

• Processing is limited within a time period. I will not store your personal data for longer than needed.

• I will do my best to ensure the accuracy of data.

• I will do my best to ensure the integrity and confidentiality of data.

The information I collect, use and why

I collect personal data from you with the purpose of providing an effective holistic wellness service and positive customer experience, with your best interests at heart.

The lawful basis for obtaining your information are legitimate interests and consent.

I acquire your email address to send information about upcoming programmes, newsletters, offers and free meditations, for which you have consented to and can unsubscribe from at any time.

When you contact me through the connect form, I acquire your name, email address and any personal information you choose to share with me in the form. Please only share the necessary personal information required for your query.

In order to ensure my online programmes are the right fit for you, I obtain information via an initial application form on my website. If you sign up to work with me, I will send you another form to obtain more detailed information so that I can provide the best possible service to you. This may include sensitive information such as health information. I use a secure email service to do this and once your form has been received the email will be deleted. I store forms and written records of sessions on a highly secure cloud platform where they are protected by end-to-end encryption.

I will keep these records for 7 years, as per the conditions of my insurance company, Balens Ltd.

Who I share your information with

I do not share your personal data with strangers. In some cases, your personal information is provided to trusted partners to either allow the provision of the service to be possible or to enhance your customer experience.

All processing partners have been chosen based on the level of privacy and security they provide, to ensure an adequate level of protection to your personal data.

During sessions

Confidentiality during our time working together is of the utmost importance to me. Any personal data you disclose during our sessions will not be shared with anyone without your consent, unless it is required by law.

Your data protection rights

Under data protection law, you have rights including:

Your right to information – You have the right to know how your data will be obtained, used and held.

Your right of access - You have the right to ask for copies of your personal data.

Your right to rectification - You have the right to ask me to rectify personal data you think is inaccurate. You also have the right to ask me to complete information you think is incomplete.

Your right to erasure - You have the right to ask me to erase your personal data in certain circumstances.

Your right to restriction of processing - You have the right to ask me to restrict the processing of your personal data in certain circumstances.

Your right to object to processing - You have the right to object to the processing of your personal data in certain circumstances.

Your right to data portability - You have the right to ask that I transfer the personal data you gave us to another organisation, or to you, in certain circumstances.

Your right to withdraw consent – When we use consent as our lawful basis you have the right to withdraw your consent.

If you make a request, I have one calendar month to respond to you.
